What is accounts payable, and how does it differ from accounts receivable?

Accounts payable is money your business owes suppliers and contractors, the unpaid invoices sitting on your trade creditor balance. Accounts receivable is the reverse: money owed to you by customers for invoices you’ve issued. Both appear on the balance sheet, but they’re run as separate workflows. Accounts payable protects supplier relationships and BAS accuracy; accounts receivable protects cash flow coming in. Lumping them together is where most small businesses lose sight of both.

Will you have access to my business bank account?

No. Payment authorisation stays entirely with you; we never hold signing rights on your bank account.

Our role stops at preparing the bill run: supplier invoices processed correctly, coded properly, and attached to a clean payment summary. You log into your own bank, review what’s been prepared, and authorise payment. Money only moves after you’ve signed off.

Who authorises supplier payments?

You, or whoever inside your business holds payment sign-off, a director, a finance manager, or a nominated approver. We don’t set authorisation rules for your business; we work with whatever structure you already have. If approvals need to route through two people before a bill is released, the bill run accommodates that.

Our job is to make sure what’s being authorised is accurate, not to decide who signs it.

Can I outsource just accounts payable, or do I need full bookkeeping?

Urgent bills get processed outside the schedule when they genuinely need to. If a supplier requires same-day payment, we enter the invoice, run the usual ABN and GST checks, and prepare it for authorisation straight away.

The scheduled rhythm works because most bills don’t actually need urgency, but when one does, the system accommodates it without breaking the rest of the run.
